Any personal data we collect will only be used as permitted by law.

This Privacy Policy applies only to your use of our sites. Our sites may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites, and we advise you to check the privacy policies of any such websites before providing any data to them.

3. What Is Personal Data?
Personal data means any information about you that enables you to be identified as an individual. This is governed by the UK GDPR and the Data (Use and Access) Act. It covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, health data relevant to coaching, electronic location data, and other online identifiers.

4. What Are My Rights?
Under UK law, you have the following rights, which we will always work to uphold:

The right to be informed about our collection and use of your personal data.

The right to access the personal data we hold about you (see Part 9).

The right to have your personal data rectified if it is inaccurate or incomplete.

The right to be forgotten (to ask us to delete or dispose of your personal data).

The right to restrict or object to us processing your personal data.

The right to withdraw consent at any time if we are relying on your consent as the legal basis for using your data.

The right to data portability to move your data to another service.

Rights relating to automated decision-making and profiling. Please note: we do not use your data for automated profiling or solely automated decisions (see Part 6 regarding AI).

5. What Personal Data Do You Collect and How?
Subject to the following, we do not collect any personal data from you. We do not place cookies on your computer or device, nor do we use any other intrusive means of data collection.

Technical Data: Our site automatically collects basic information including your IP address, browser type, operating system, and display resolution for technical reasons.

Contact Forms & Emails: If you send us an email or submit a form, we may collect your name, email address, and any fitness, nutrition, or health information you choose to give us.

Newsletters & Products: If you sign up for our newsletter or one of our free or paid coaching products, you will be added to our email list (you can unsubscribe at any time). We collect your first name, surname, and email address.

Our Lawful Basis: We process data under Article 6(1)(f) of the UK GDPR (Legitimate Interests) for the proper operation of our site, and Article 6(1)(a) (Consent) when you explicitly sign up for a service, newsletter, or contact us. Because we provide nutrition and running coaching, any health data you share is processed securely with your explicit consent under Article 9 of the UK GDPR.

6. How We Use Artificial Intelligence (AI)
We sometimes use AI tools (such as text editors and research assistants) to help structure website articles, plan training outlines, or format marketing materials.

Your privacy is safe. We have a strict rule: we never input any of your personal details, names, emails, or sensitive health and fitness data into any AI system. All of your information remains entirely private and is handled exclusively by a human. Furthermore, we never rely on AI to make automated decisions about your coaching or nutrition plans. Every piece of advice you receive is reviewed, written, and approved by Rachel Williams.

7. How Do You Use and Store My Personal Data?
Your personal data will be processed and stored securely for no longer than is necessary.

Any emails containing your personal data will be deleted no later than 6 months after the subject matter has been resolved, unless you become an active coaching client, in which case we retain your records securely for the duration of your coaching.

We store data securely within the UK and the European Economic Area (EEA), ensuring it receives full legal protection.

We secure your data by limiting physical and digital access to it and maintaining strict data breach reporting procedures in line with UK law.

8. Do You Share My Personal Data?
We do not share your personal data with third parties, with only two exceptions:

Business Transfer: If we sell, transfer, or merge parts of our business, your data may be transferred to the new owner to continue communicating with you in the same way.

Legal Requirement: If there is an indicated risk to yourself or others, or if required by a court order or law enforcement to protect life or limb, we may be legally required to share certain data.

9. How Can I Access My Personal Data?
If you want to know what personal data we have about you, you can make a “subject access request” (SAR) in writing to the email address in Part 11.

There is no charge for this. We aim to respond fully within one month. Under the Data (Use and Access) Act, if your request is unclear, we may contact you to clarify what data you need, and the legal 1-month response clock will be paused until you respond. If a request is legally deemed "vexatious or excessive", we reserve the right to charge a reasonable administrative fee or refuse the request.

10. Your Right to Complain (UK Law Process)
If you have any concerns about how your data is handled, we want to put it right quickly. Under UK law, you must lodge a formal complaint directly with us first before escalating it.

To do this, please email rachel@runnersnutritioncoach.com. To ensure your email is flagged immediately, you must start your email subject line with the word "Complaint".

We will acknowledge your email within 30 days and work to resolve your query. Because Every Bite Nutrition is a UK Limited Company operating online, you agree that any disputes or legal complaints relating to your data will be handled exclusively under the laws of the United Kingdom and through the UK legal system. If you remain unhappy with our final response, you retain the right to escalate your complaint to the UK Information Commissioner’s Office (ICO).
